What Is a Call Sheet?

A call sheet is the single most important document on any shooting day. It tells every member of the cast and crew exactly where to be, when to arrive, and what to prepare for. Distributed the evening before a shoot day, it serves as the master reference that keeps an entire production synchronized.

A professional call sheet typically includes the production title, shoot day number, date, and weather forecast. It lists general crew call time, individual department call times, the shooting schedule with scene numbers and descriptions, cast members required with their pickup and call times, location addresses with parking and base camp details, and key contact numbers for department heads.

Why Call Sheets Matter

Without a reliable call sheet, productions descend into chaos. Actors arrive late because they had the wrong address. Departments show up unprepared because they did not know which scenes were scheduled. A five-minute delay at call time cascades into hours of lost shooting time — and on a professional set, every hour costs money.

The call sheet is also a legal document. It establishes the official work schedule, which matters for union compliance, overtime calculations, and turnaround requirements.

How Call Sheets Work in Practice

The assistant director (AD) department typically prepares the call sheet based on the shooting schedule. After the director and producers approve the next day's plan, the AD compiles all the details, coordinates with every department head, and distributes the final document — traditionally as a printed handout or PDF.

On Indian productions, distribution often happens through WhatsApp groups, which introduces version-control problems. When the schedule changes after the first version goes out, crew members may not see the update.
